The AI department for small business

A day a week back. And a smaller software bill.

We put AI on the admin that eats your team’s time, and rebuild the software you’re overpaying for so it does only what you need. Usually for less than you pay now.

  • For UK firms of 5 to 50 staff
  • We come to your office
  • £600 to find out what you’re losing

The two things we do

  1. Admin your team does by hand, done by AI.

Calls answered and booked, invoices chased, quotes and reports drafted. We train your team on it in a day, so it’s useful from the first morning.

UK research says 24 working days a year go on admin. The office day tells you your number.

  2. Software built for what you actually use.

Most firms pay every month for a stack of features nobody touches. We look at what you’re paying for, then build the handful of things you really need, in your own accounts.

Priced under the subscription it replaces. If it can’t be, we’ll tell you to keep the subscription.

The problem, in numbers

How it works

Four steps. We look before we advise, and we train before we build.

  1. Free audit

    Free1 hour

We get the broad picture: what your business does, how many people, which teams, what software you use, and how much AI you already use.

  2. Office day

    £3001 full day, on site

We sit with your team and see what people actually do. We pick 3 time-consuming tasks, then watch, take notes and record how they’re done. We also list every piece of software you pay for, and what your team uses it for.

  3. Training day

    £3001 day with your team

We train your team to use AI, built around the tasks we saw on the office day. No generic examples, so it makes sense from day one.

  4. Custom tools

Monthly subscriptionOnly if you need them

Where a task needs more than training, we build the tool: an AI receptionist, an AI sales teammate, or a replacement for software you’re paying too much for.

What we fix

The kind of tasks we find on an office day.

  • Missed calls answered and booked

    The problem
Calls go to voicemail while you’re with a client, and those callers ring the next firm.
    The fix
Every call answered, simple questions handled, appointments booked straight into your diary.
  • Quotes and follow-ups sent the same day

    The problem
Quotes wait until Friday night, and by then the customer has gone elsewhere.
    The fix
Quotes drafted from your notes for you to check and send, with follow-ups that go out on time.
  • Invoices chased politely and on time

    The problem
Chasing money is awkward, so it doesn’t happen until cash is tight.
    The fix
Polite, firm reminders drafted and sent on schedule, handed to you only when a person is needed.
  • Inbox and admin triage

    The problem
The one email that matters is buried under forty that don’t.
    The fix
Mail sorted, routine replies drafted, and the few that need you put at the top each morning.
  • Reports that write themselves

    The problem
Someone loses half a day each month copying numbers into a spreadsheet.
    The fix
Figures pulled together into a drafted report, ready for you to check on the first of the month.
  • Staff trained on AI they’ll actually use

    The problem
Half the team is quietly using free AI tools, and nobody knows what’s being pasted into them.
    The fix
A training day built around their own work, with clear rules on what’s safe and what isn’t.

Why it sticks

Most AI training is forgotten by Friday. Ours is built on your team’s real work.

Illustration of an office day: an open notebook, a voice recorder, a clipboard, a stopwatch, coffee and reading glasses.
  1. We watch before we advise.

A full day in your office, not a questionnaire. We see how the work really gets done, including the workarounds nobody mentions.

  2. Your team is trained, not bypassed.

Training uses the tasks we watched them do, so they leave knowing how to save time on Monday morning. Systems nobody understands get abandoned.

  3. You own what we build.

Built in your accounts and documented in plain English, so you’re never swapping one lock-in for another.

  4. Tools only where they pay.

Most gains come from training alone. We only suggest a tool when a task needs one, or when it costs less than the software it replaces.

What we won’t do

AI is good at the repetitive stuff. It’s bad at knowing when it’s wrong.

So there are things we won’t automate, however much you ask:

  • Judgement calls. Who to hire, what to charge, whether to take the job. Those stay with you.
  • Client relationships. Your customers chose you, not a machine. We free up your time for them, we don’t replace you.
  • Anything where a wrong answer costs you a customer. If a mistake is expensive, a person checks it before it goes out.
  • Rebuild software that carries compliance. Your accounts package, clinical records or anything an auditor signs off stays where it is. We fix the admin around it instead.

And if AI isn’t the best place for your next pound, we’ll tell you in the free audit.

12-person firm · four subscriptions

£413 a month of software, rebuilt for £180

Before
Four tools at £413 a month: scheduling £45, online forms £29, an invoice-chasing add-on £69, and a call answering service £270. Between them, the team used about a dozen features.
What we built
One tool in their own accounts doing those dozen things: bookings, forms, polite invoice chasing and an AI receptionist that answers and books.
After
£180 a month with us, and their accounts package and CRM stayed exactly where they were.

About

Hello. I’m David Geismar.

I’ve spent the last decade building software inside companies that grew fast: 360Learning, Qonto, GitGuardian, Sidecare and Riseup. Different products, same lesson. The technology was rarely the hard part. Getting busy people to actually use it was.

I’m also the founder of Yunoo, and I’ve helped dozens of small businesses put AI to work on the ordinary stuff: calls answered, admin cleared, software bills cut back to what they actually use.

We’re based in London. When you work with us, you deal with me.
